How it works

How done-for-you certificate of insurance tracking works

Short answer

We chase COIs for you, and our done-for-you COI tracking works in four steps. We take your subcontractor list and insurance requirements, request a current certificate of insurance from each vendor, read every one against your rules, and chase anything missing or expiring. You receive a short exception report instead of a folder to manage. Onboarding takes days, not months.

What happens in each step?

The interactive timeline above walks through each stage. In plain terms: you send us a list, we request and collect certificates, we check each one against your requirements, and we keep chasing so coverage stays current for the life of the job.

What do we check on every certificate?

We read the certificate against the requirements you give us. Typical checks:

  • Policy effective and expiration dates cover the work period.
  • General liability, auto, umbrella and workers’ compensation limits meet your minimums.
  • The certificate holder and project description match your contract.
  • Additional insured, waiver of subrogation and primary and non-contributory boxes are marked where you require them.
  • The insured name matches the subcontractor on your contract.

For anything the form cannot prove, such as whether an endorsement actually exists, we flag it and tell you to request the endorsement page. Here is how to read an ACORD 25.

What do you still own?

You decide the requirements, who is allowed on site and what happens when a sub is out of compliance. We report the facts and keep the paperwork current. We do not approve vendors, interpret contracts or give legal or insurance advice.

Who is this a poor fit for?

If you only have a handful of subs and a clean spreadsheet, you may not need a service yet, and our free spreadsheet template is a fine start. Up to 12 subs is free here anyway. At the other end, owners with more than 250 subs and custom integrations should ask for a quote or look at enterprise platforms.

Frequently asked questions

How long does onboarding take?

Onboarding speed depends on how clean your vendor list is. With a list and your insurance requirements in hand, the first certificate requests can go out within days. The free audit is the fastest way to see where you stand.

Do my subcontractors have to create accounts?

No. Vendors receive a secure upload link or can reply with a PDF. They do not need to log in or learn a new system.

What happens when a certificate expires?

We follow up with the vendor and their agent before the expiration date, then report the status to you. If coverage still lapses, you see it on your exception list the same week.
